Profiles

Building Your Profile

A profile on Shine Education represents your institution, organization, or personal identity. Profiles are public, searchable, and can be enriched with rich content tabs, media, and dynamic data fields.

Create an account or log in

Go to shineducation.com/auth/signup to register with your email. Existing users can sign in at /auth/login.

Apply as a Creator

From your dashboard, select Build Profile or navigate to Dashboard → Profile Types. Choose the post type that matches your entity — for example Educational Institution, Government Organization, or Ward Office. If the post type requires verification you will submit a creator application for admin review.

Fill in the profile details

Complete all required fields: title, short description, featured image, and any post-type-specific dynamic fields (contact number, Google Maps location, website URL, established year, etc.). Fields shown depend on how the admin configured each post type.

Add content tabs

Once your profile is published, the admin can attach tabs (About, Gallery, Team, Notice, Services, Calendar, etc.) to your profile. Each tab can hold sub-entries called tab posts. Navigate to your profile dashboard to manage these.

Publish and share

Set the status to Published when ready. Your profile is now publicly visible at /post-types/[type]/[your-slug]. Share the URL or use the built-in follow/share buttons.
Profiles that complete all fields (image, description, contact, location) rank higher in the directory and appear in Shine Education's featured listings.

Collaboration

Collaboration Features

Shine Education lets you invite team members to co-manage your profile. Collaborators can add and edit tab content, upload media, and update profile details — all under one shared profile.

Open your profile control panel

Go to your dashboard and open the profile you want to share. Click the Control button or navigate to /admin/posts/[id]/control.

Send a collaboration invitation

In the Access Management section, enter the email address of the colleague you want to invite. Add an optional message and click Send Invitation. The invitee will receive an email with an accept link.

Invitee accepts the invitation

The invited user opens the email link (or finds the invitation in their Collaborations dashboard) and clicks Accept. They are now a collaborator on your profile.

Collaborators manage content

Accepted collaborators can log in and access the profile from their own dashboard under the same post type. They can add/edit tab posts, upload images and videos, and update profile fields. They cannot delete the profile or revoke other collaborators.

Remove a collaborator

The profile owner or admin can revoke access at any time from the Control panel by removing the collaborator from the access list.

What collaborators can do

  • Add and edit tab posts (notices, gallery items, team members)
  • Upload and manage images and videos
  • Update profile dynamic fields
  • View data collection submissions

What only owners/admin can do

  • Delete the profile permanently
  • Transfer ownership to another user
  • Revoke or add collaborator access
  • Enable/disable advanced modules (CRM, Data Collection)
Invitations expire after 7 days if not accepted. You can re-send from the Control panel.

Media

Video Upload

Profile owners with video upload permission can attach video content to their profile and to individual tab posts. Videos are stored on Cloudflare R2 and are streamed directly to visitors.

Enable video upload permission (admin step)

An administrator must enable the Video Upload permission for your profile. This is done from /admin/posts/[id]/control under the Permissions section. Once enabled, a video upload widget appears on your profile editor.

Upload a profile video

Open your profile edit page. Scroll to the Video section and click Upload Video. Select an MP4, MOV, or WebM file. The video is processed and stored in the cloud — you will see a preview once the upload completes.

Upload a video inside a tab post

When creating or editing a tab post (for example a Notice or Gallery entry), the same video upload widget appears if the tab has video enabled. Upload the video and save the tab post. The video appears in that entry on the public profile.

The Videos tab on the public profile

All videos attached to your profile are automatically aggregated and displayed in the Videos tab on your public profile page. Visitors can browse by Recent or Popular, and click any video to open it on its own dedicated watch page.

Supported video formats & guidelines

  • Formats: MP4 (H.264), MOV, WebM
  • Maximum file size: 500 MB per video
  • Recommended resolution: 1080p (1920×1080) or lower
  • Videos are streamed via CDN for fast playback worldwide
  • You can delete a video from the edit page to free storage
The Videos tab appears automatically on your profile as soon as you have video upload permission — even before any video has been uploaded. Upload your first video to start building your video library.

Civic Tool

Nagarik CRM

Nagarik CRM is a civic service management tool designed for local government offices (ward offices, municipalities, rural municipalities). It lets you register citizens, offer services, record service history, and generate analytics — all linked to your organization profile.

Enable Nagarik CRM for your profile (admin step)

An administrator enables Nagarik CRM from the profile Control panel under Feature Permissions → Nagarik CRM. Once enabled, the CRM module appears in your profile dashboard.

Access the CRM dashboard

Go to your profile in the dashboard and open the Nagarik CRM tab, or navigate directly to /user/types/[type]/[profileId]/nagarik-crm. The dashboard shows four panels: Offered Services, Service History, Citizens, and Analytics.

Create offered services

In the Offered Services tab, click Add Service. Enter the service title, category (Documentation, Financial, Health, Legal, etc.), description, typical duration, and availability. These services appear as options when recording a citizen interaction.

Link citizens from Data Collection

Citizens are drawn from your linked Data Collection database (family heads and members). Use the citizen search to find a person by name or address. If your Data Collection module has families registered, their members appear automatically.

Record a service interaction

In Service History, click Record Service. Select the citizen, the service provided, date, time, duration, status (Completed, Pending, Cancelled), and any notes. The record is saved and contributes to the analytics.

View analytics

The Analytics panel shows bar charts for services per category, a pie chart of service status distribution, a line chart of monthly service volume, and summary stats (total services, citizens served, average duration).

Nagarik CRM is ideal for

  • Ward offices tracking citizen service requests
  • Municipal offices logging document issuance (birth certificates, land records)
  • Health posts recording patient visit history
  • Any public-service body needing structured citizen interaction logs
Nagarik CRM data is private — only profile owners and their collaborators can access it. Citizens in the system are sourced exclusively from your own Data Collection database.

Civic Tool

Data Collection

Data Collection enables local government offices and organizations to maintain a structured digital registry of families and household members in their jurisdiction. Data is stored securely, can be exported to Excel, and integrates directly with Nagarik CRM.

Enable Data Collection for your profile (admin step)

An administrator enables Data Collection from the profile Control panel under Feature Permissions → Data Collection. The module then appears in the profile dashboard.

Register a family

Navigate to Data Collection → Families and click Add Family. Fill in the household number, ward number, province, district, municipality, village, head of family name, and economic status. Save to create the family record.

Add family members

Open a family record and click Add Member. For each member provide: full name, relationship to head, gender, age, education level, occupation, marital status, health status, monthly income range, voter card status, and phone number.

Send email invitations to members

For digital self-registration, you can send an email invitation to a family member from the family detail page. They receive a link to a secure form where they can verify or update their own details.

Manage memberships

The Memberships tab stores lightweight contact cards — useful for tracking association members or programme participants (name, address, phone, email, date of birth, occupation).

Export data

At any time you can export the full family & member list to an Excel (.xlsx) file from the toolbar. The export includes all fields across all families in your database.

Search and filter

Use the search bar to find a family by head name or ward number. Use the filter dropdown to narrow by economic status. Paginated tables keep large datasets manageable.

Data Collection integrates with Nagarik CRM — citizens registered here automatically become searchable in the CRM for service tracking. Enable both modules for the full civic management experience.
